We are seeking a capable and enthusiastic Program Coordinator to work on a significant program of work.  Opportunity to work collaboratively across the organisation to coordinate and provide administrative support to change created by projects that impact process, people and systems. Specifically, the Accelerated Data Consolidation Program (ADCP) is a strategic initiative to streamline mission critical data onto the Bank’s BI Platform. 


Reporting to the Program Manager, responsibilities of the role include:


  • Support the program to ensure it delivers outcomes necessary to realise benefits as agreed by the project sponsor
  • Apply a structured project coordination approach, ensuring adherence to internal frameworks, processes and practices to effectively support all aspects of the project
  • Monitor the progress of plans (financial, scope, resourcing and schedule) identifying variances early, allowing corrective actions to be taken in a timely manner, minimising impact.
  • Undertake administrative activities such as maintenance of training records, leave administration, assist with staff on-boarding and off-boarding, raise purchase orders, process vendor invoices, etc.
  • Provide administrative support in setting up meetings and workshops, writing and communicating minutes, tracking actions and escalating overdue items for action as appropriate.
  • Identify key stakeholders, develop appropriate plans and work closely with program management to ensure necessary levels of engagement are maintained throughout the life of the project.
  • Support the program management in maintaining detailed work plans, schedules, project estimates and resource plans.
  • Identify and manage risks and issues, track plans to mitigate risk and implement these in a timely manner, measuring effectiveness.
  • Identify, plan and complete communication activities to ensure information is provided in a timely and relevant manner and the intended messages are communicated clearly.

This role is part of the Corporate Services Group. The Corporate Services Group is responsible for the effective provision of information technology, workplace and data management services to support the delivery of the Bank’s policy, operational and corporate objectives.


Your background


To be successful in the role you will possess most or all of the following:

  • Tertiary qualification or relevant industry experience
  • Understanding of program management methods – ideally both waterfall and agile
  • Strong skills in Microsoft Office suite and Visio
  • Working knowledge of a project scheduling tool, preferably Microsoft Project
  • Experience using Jira or a similar tool for managing agile projects
  • Excellent written and verbal communications skills
  • 1-3 years of professional experience in a similar role
  • A helpful, enthusiastic attitude
