Executive Assistant

More flexibility, less one-size-fits-all

This role will be responsible for a diverse range of executive support activities including contributing to the planning, co-ordination and provision of administrative processes with the overall aim of supporting the Head of Payments Policy to achieve business objectives efficiently and effectively. This role will also work closely with the Executive Support Team of the Financial Systems Group, working as part of the team to achieve the overall objectives of the Group and providing coverage in peak work periods and employee leave.

You will proactively assist the Head of Payments Policy with workflow, liaise with the senior leadership team to prepare and collate a broad range of documents including the quarterly Payments System Board papers, meeting minutes and agendas, presentations, speeches and other key documents. 

You’ll be involved in a variety of activities including:

  • Provide support to executives and senior managers and ensure general office management is effective;
  • Work closely and effectively with the Executive Support Team function of the Group being a team player and providing coverage in peak work periods and times of employee leave;
  • Extensive diary management, proactively managing scheduling, incoming and outgoing correspondence, virtual and in-person logistics and task management;
  • Assist with board and committee paper preparation, formatting and review of documents, document management, note taking and following up action items;
  • Organise complex meetings involving liaison with external agencies and bodies including booking venues and equipment and catering.  Prepare relevant papers and presentations as required for the meetings;
  • Organise events and functions;
  • Booking domestic and international travel as required;
  • Research, collate and provide reports to support informed decision-making and planning;
  • Research and basic authoring/drafting of documents/correspondence.

Your background

To be successful in this role you’ll need:

  • Advanced in all MS Office tools, in particular Outlook, Word, PowerPoint and Excel.
  • Proven strong organisational and problem-solving skills, including the ability to manage multiple and often conflicting tasks.
  • A proactive approach to work with the ability to work autonomously, employ initiative to find solutions, prioritise and exercise discretion.
  • Affable and easy to work with the ability to build trusted relationships quickly to enable tasks to be actioned efficiently.
  • Ability to work as part of a team and be flexible when change occurs.

Your team

This role reports to the Head of Payments Policy. Payments Policy Department advises the Payments System Board on issues relevant to the Bank’s responsibilities in the payments area. These include developments in payments and clearing and settlement systems. The department oversees the entire payments system by developing and implementing policy, and regulating and supervising financial market infrastructures to ensure they promote financial stability.

The department prepares papers for the quarterly Payments System Board meetings and provides analysis and advice relating to the exercise of the Bank’s powers in relevant areas.

Payments Policy is part of the Financial System Group, and this role will work closely with the executive assistants within the group in a collegiate and team-oriented culture to achieve the objectives and goals of the Group.
